COMPANY PROCEDURES

PLEASE READ!

There are rules when visiting me that you will need to adhere too. These are some of the things you need to know before you arrive;


  • Please double check that you have the correct date and time before turning up for your treatment. I'm not likely to be able to see you if you get it wrong
  • Please note that the system allows for people to book an appointment without an account so if you want to have your bookings register on your account please remember to log in first or it won't register with your account. It is for this reason that I request that you make a separate note of your booking just in case you forget to log in.
  • You cannot cancel bookings, only I can, but you can reschedule them if you have an account up to 48hrs prior to treatment. The delete option on your account just deletes your record of your booking not the treatment from the booking system.
  • Please be aware when booking that you should leave at least 48hrs post injection before receiving a treatment
  • If you are ill or infectious please reschedule or cancel as early as possible or you might be refused treatment when you arrive. Late cancellations may incur a fee.
  • You will need to bring a filled consultation form in with you (paper copies available at Naver reception desk weekdays). You can return the one I send you via email fully filled out but do so no later than the day before your appointment as I will need to print it off at home for me to finish of when you arrive on the day. You can fill one out when you arrive but it will eat into your treatment time. These forms are a legal requirement prior to treatment. Please list all medical issues you have EVER had, don't try to guess what's relevant!
  • Please arrive clean and wearing clean clothes
  • Please arrive at the appropriate time, not too early or too late (see below for details)
  • Please leave your belongings in the car, only bring in the essentials
  • If you seem ill your temperature might be checked upon arrival to check you are fit for treatment
  • For evening appointments please wait in your car if the weather is bad. The doors to Naver will always be locked at night! I will collect you when I'm ready (Please be patient as I might be cleaning the room for you)
  • Please sign in at reception, this is a fire safety policy for Naver. You will be expected to sign out as you leave
  • If you have a daytime appointment sign in and take a seat at reception and I will come down to collect you when I'm ready.
  • We will be expected to keep to the right side of the stairs during the day to let others pass safely on the left
  • Feel free to use the lift if you are disabled or can't manage the stairs *unfortunately this option is currently unavailable as the lift needs fixed*
  • If you can, please put your phone on silent!
  • You will be expected to leave promptly after your treatment, I will try my best to keep to time so that I'm not late for the next person. Extensions to treatment time are done at my discretion and should not be expected
  • If you need to leave sharp or early for any reason please say so at the start and I will try to accommodate you
  • Drinking water post treatment isn't a requirement but is good for you
  • There is a toilet available for use both upstairs and downstairs, if you need to go please do so before your treatment starts. That said, if you are caught short mid treatment I do have a gown for your modesty if you need it 
  • You can pay by contactless card/phone app here however if paying by cash please bring the exact amount as I don't have change on the premises.
  • Gift vouchers are available at reception or from myself directly and carry a six month expiry date, please check the date prior to receiving your treatment to ensure that you can redeem it. Extentions to the expiry date are rarely given without good reason
  • If you are asthmatic please ensure that you have your inhaler on you and if you are prone to anaphylaxis shock please carry your epipen as the oils I use are predominantly nut oils so please bear this in mind.

General policies

Cancellation/No Show Policy

I respectfully ask that you provide me with at least 24 hours notice (preferably sooner if you can) of any reschedule changes or cancellation requests. Please understand that when you reschedule or cancel very late or you miss your appointment I am often unable to fill that appointment time. This is an inconvenience to me and also means that those clients on my urgent list miss the chance to receive the services that they so desperately need. 


Because my website gives out reminders of your bookings you have no excuse if you forget to show up on the day (I pay extra for this feature to try to ensure that you don't forget). Forgetting to log in before booking can result in reminders not being sent out and it is for this reason that I ask that you add your appointment dates to your diary just in case as a back up! 


FEES; All missed appointments will be charged at a rate of 50% of the service you booked (for your first missed session) and at a rate of 100% of the service you booked for each missed session thereafter. The fee will be sent straight to your mobile number or email address via a secure payment link. All payment links sent out are recorded on my payment system so I will not simply forget that you haven't paid them. If you fail to pay your fee you may be refused future treatment and be removed from the booking system until you settle your bill! For repeat no show offenders I also reserve the right to require full prepayment of your treatment prior to booking any future appointments. If you fail to pay for your treatment on the day I will send you a payment link for this too as I don't run tabs or delayed payment options. All treatments and fees need to be paid for promptly and recouped to prevent me from being out of pocket and going out of business and hopefully my strict rules in this regard will prevent you from repeat offending again too. I understand that emergencies can arise without warning and it is for this reason I might  phone or contact you when you fail to show up to find out what happened and in certain circumstances I might waver my fee. 


If you have a fever, infection, virus, or have experienced vomiting or diarrhoea within the 24 hours prior to your appointment time and date, I respectfully request that you cancel your session (without fee) to prevent the spread of infection. Please don't leave cancelling to the last minute as I can't find a replacement to fill your space at short notice. Please remember that receiving a massage treatment whilst ill can make you feel even worse and might also infect me, making me ill and unable to treat anyone else including you! If in doubt please contact me.


Given our geographical location I fully accept that inclement weather may result in the need for a late cancellation and in this instance I would far rather you cancel (without fee), than take any risks trying to attend your appointment when it is unsafe for you to do so. In very severe weather I might also make the decision to close too. 


I promise to do my best to give you advanced notice either directly and or via Facebook if I need to close or cancel bookings for any reason. I will then prioritise your next appointment after I return.


All cancellations are advertised on my work Facebook page and go on a first come first serve bases but they will also be visible on my booking system so you can check there too. When trying to book an appointment you will always see what availability there is (including any cancellation spaces) often quicker than I notice myself. I do try to keep a note of people looking for a cancellation but I might forget that you've asked so please check the website and book an appointment just in case.


The booking system is always open and takes appointments up to a year in advance and if you want a particular date or time then I suggest you book ahead. 


I try to get my holidays booked ahead of the system opening up. Please note I take two weeks off at Christmas and in the summer and the exact dates of my summer holiday can be subject to change. Any clashing bookings will be cancelled but I will inform you before doing this.

Initial Visit and Late Arrival Policy

Please go to the bigger of the two carparks and enter via the green conservatory. You will know you if have the right door as it will have my poster on the window next to it. Do NOT go to the Naver suite building as I do not have access to it.


On your initial visit I request that you try to arrive about 5 minutes prior to your appointment time (no more, no less) and sign in at reception. 


Please bring any glasses you need with you as you will need to fill out some paperwork upon arrival as you will be expected to sign that you agree to my rules and policies. If you haven't brought your consultation form with you or sent it back in time then you will need to fill one of these out too. 


Please note that the forms you sign are strictly confidential and done for legal reasons so therefore are mandatory prior to treatment. I will NEVER use your details for marketing purposes! All forms are stored in my treatment room in a secure fashion where only I will have access to them.


If you take medications please ensure that you know what you take and what it"s for if you haven't filled out your consultation form prior to your appointment as this is a question on your consultation form, you will also be asked for details of any x-rays, scans or medical treatment you have received. I don't have access to your medical records so I rely on you providing these details.


I understand that certain issues can arise that may cause you to be late for your appointment, however, I ask that you contact me to inform me of what has happened and when you expect to arrive. I will do my best to try to accommodate you within whatever time is left, or at a later time that day if I can. Not contacting me will definitely result in loss of treatment time but you will still be charged the full price!


I will do my best to be on time for you, and if for some unfortunate reason I am unable to do so I will either add extra time to your session (if I can) to make up for the late arrival, reduce the cost of your treatment, or add the extra time to your next session at no extra charge.


Once we are upstairs you will be expected to take off your shoes and coat outside the treatment room where there is chair, coat stand and long shoehorn for your convenience, this keeps the carpets clean and dry in the treatment room. If your shoes and coat are clean and the weather is good and you are compromised mobility wise then I might let you wear them inside the room. 


Once you are in the treatment room you will be expected to get undressed for your treatment unless you are getting a fully clothed Indian head massage. Please ensure if you wear a bra that it can be undone at the back when getting back treatments or you will be asked to remove it completely. For modesty reasons you can wear shorts when receiving leg treatments and you won't be asked to remove them but please ensure that they're not long shorts.


For sports and remedial treatments you will be physically assessed in your underwear so that I can see the physical structure of your body so as to asses your issue properly. All treatments however are performed properly covered with only the area being treated exposed. 


If you are at all anxious of getting undressed for any of the relaxing treatments I will happily stand outside whilst you get changed allowing you to cover yourself up with the towel or blanket before I come back in. 


All clothes should be hung up or placed in the basket provided so that they are out of the way and not left for me to trip over. There is also a small tray for smaller belongings. 


Once your treatment is complete if you deliberately drag your treatment time out by talking or dressing long after your treatment time then you risk making me late for my next client and if this happens then you might be charged an extra £5 on top or your treatment cost.


When your treatment is over I will escort you back downstairs so that you don't get lost within the building. 

Inappropriate Behaviour Policy

Massage therapy is for relaxation and certain health and wellbeing issues only. There is absolutely NO sexual component to massage whatsoever! Any inappropriate behaviour, insinuation, gesture, or request otherwise will result in immediate termination of your session and refusal of any and all services in the future. You will be charged the full service fee regardless of the length your session and politely be asked to leave the premisses immediately. 


Depending on the severity of your behaviour I may also file a report with the local authorities if necessary.

 

Any inappropriate messages via my messaging services asking for sexual services or "happy endings" will also result in you being blocked from the booking system, WhatsApp and Facebook pages. 


In some instances you may even be named and banned from other female led practices within the highlands too as I am part of a zero tolerance, safe space  group set up to protect female massage therapists working alone within this area.


Treat your massage therapist with respect and dignity and you will be treated the same in return!
